An offer of a place takes into account the courses and examinations listed in an application. If applicants change their course or examination arrangements, the conservatoires concerned are entitled to amend their decisions.
If there are any changes to exam details which have been included on an application, the applicant must write to us and all of their chosen conservatoires to inform them of the changes. They should also contact us and their chosen conservatoires if they wish to add a current qualification to their application. Applicants only need to contact us if the change is regarding a current qualification or examination, for example, an A level which they are taking in the summer. If it is a previous qualification, such as a GCSE which was completed two years previously, we do not need to know any changes, but the applicant should still contact their conservatoires.
It is important that applicants let us and the conservatoires know of any changes to their details, particularly their address. This avoids unnecessary delays in confirming their place. They can amend their address, telephone number and email details by logging in to Track. If applicants are using their school address during term-time, they must remember to tell us when they want any letters to go to their home or summer address.
If an applicant originally applied to fewer than six choices, they can add more choices provided they have not accepted or declined any offers. They can add any further choices on Track.
If an applicant suffers an accident, illness or a personal problem that could affect their results, they should write to each conservatoire that is considering their application to explain. Please include a supporting letter from their school or other authority and, in medical cases, from their doctor. Details should be sent as soon as possible after the problem has arisen. Do not wait until their exam results arrive.
Applicants can withdraw their application at any time by going to Track or by phoning our Customer Service Unit. If they withdraw, they cannot submit another application during this academic year. If they have withdrawn from the scheme but, for exceptional reasons, wish to re-enter it, they should write to us with full details and ask for advice.
For 2012 entry, if applicants cancel their applications within 7 days of the date on their Welcome letters, they will receive a full refund of their application fees and any audition fees paid to CUKAS. Applicants should call our Customer Service Unit if they wish to do this.
We cannot arrange the refund of any audition fees paid directly to the conservatoires. Applicants must contact the conservatoires about refunding these payments.
If you are informed that an applicant has died after sending their application to us, please tell us as soon as possible. We will immediately cancel the application and tell all the applicant's choices of conservatoire. By taking this action promptly, we aim to prevent any attempts to contact the applicant and to stop any further correspondence from being sent to them. This prevents the applicant's family from experiencing any further distress.
